Statuses and workflow steps

The status shows where the order is in the workflow.

In the list and in the order detail, status appears as a selector. If actions are available, the user can choose the next permitted step.

StatusMeaning
NewThe order exists, but warehouse work has not started yet.
Sent to pickingThe order is ready for operators to pick products.
PickingThe operator is taking products from locations.
PickedProducts were picked and can move to packing.
PackingProducts are being checked and prepared for the parcel.
PackedProducts were packed.
Awaiting shipmentThe parcel is ready but has not left the warehouse yet.
ShippedThe parcel was handed over for delivery.
CancelledThe order no longer needs to be delivered.
Cancelled - awaiting return to stockThe order was cancelled after products went too far in the workflow and must be returned properly.
Return pendingReturned products are expected.
Exchange awaiting returnThe order is tied to an exchange and waits for the returned product.
Insufficient stockWMS did not find enough stock to continue.
Stock issueA stock or location issue must be checked.

Actions depend on the current status.

Usually:

  • a new order can be sent to picking or cancelled;
  • an order already sent to picking can be cancelled;
  • an order in picking, picked, or packing can be cancelled;
  • a packed order can move to Awaiting shipment or be cancelled;
  • an order awaiting shipment can be marked as Shipped or cancelled;
  • a shipped, cancelled, or final blocked order no longer has normal selector actions.

Return orders have more limited actions. They are not sent to picking from Orders like a standard order.

For standard MerchantPro orders, WMS does not allow manually sending a New order to picking directly from Orders.

The order must reach the right step through the MerchantPro flow. Cancellation may be available, but forcing it to picking is not.

When a MerchantPro order reaches Packed, WMS may request the invoice from MerchantPro. The invoice appears on the order after the information is available.

Some MerchantPro orders may arrive without an allocated warehouse.

When a standard order is sent to picking, WMS may try to choose a warehouse that has stock for all products and that the user can access.

If there is no suitable stock or warehouse, the order remains blocked with a stock issue.

If an order is cancelled after it was packed or prepared for shipment, WMS may mark it as Cancelled - awaiting return to stock.

That means products must not be considered automatically available. They must be handled through the correct warehouse flow.
