Registration
Registration is the process through which a company creates an account in Putaway WMS. It starts from the public registration page, the pricing page, or the Register link shown on the login screen.
The form is split into short steps. The user first enters the company country and tax number or VAT number. Putaway WMS validates the data through ANAF for Romania or through VIES for EU companies. If the data cannot be fetched automatically, the user completes it manually. Then Putaway WMS uses the plan selected from the pricing page or asks the user to choose a plan. After accepting the legal documents, the user creates the account administrator. The account can be used only after the email is confirmed through the activation link.
Required Data
Section titled “Required Data”Registration requires:
- company country;
- tax number or VAT number;
- company contact details;
- the person who will be the account administrator;
- an email address where the administrator can receive the activation link.
The administrator email address is important. It will be used for login and account activation.
Step 1: Company
Section titled “Step 1: Company”The first step asks for the company country and tax number. The field label changes automatically:

Putaway WMS cleans the entered code before validation: it removes spaces, unnecessary characters, and the country prefix if it was typed directly into the code.
If the same company already exists in Putaway WMS with the same country and the same tax number, registration does not continue. In this case, the user must check whether that company already has an account or whether the correct code was entered. If it is found that the company was registered without the consent of a legal representative or an authorized person, the user must contact us so the situation can be clarified.
Company Validation
Section titled “Company Validation”After the code is entered, Putaway WMS tries to identify the company through official sources.
For Romania, validation is performed first through the official ANAF portal. If ANAF returns the company, the form can automatically fill:
- company name;
- address;
- county;
- city;
- phone, if available;
- VAT payer status.
The company email is completed manually. The ANAF response used for validation does not provide the company email, and Putaway WMS does not fill it automatically.
If ANAF does not return data or the service cannot be used at that moment, Putaway WMS tries validation through VIES. For companies from other EU countries, validation is performed through VIES.
For companies outside the European Union, ANAF or VIES validation is not performed. The user completes the company details manually.
Company Details
Section titled “Company Details”After validation, the form displays the company details. The user must review them and complete anything missing.
The following details should be checked in particular:
- company name;
- county or region;
- city;
- address;
- company email;
- company phone;
- VAT payer status.
The phone number is entered with an international prefix. The form suggests the prefix of the selected country, but it can be changed if the company uses another contact number.
VAT And Validation Response
Section titled “VAT And Validation Response”If official validation exists, the screen shows VAT status and Validation type.
The validation type can be:
- ANAF Romania;
- European VIES;
- User selection;
- Unknown.
If the user manually changes the VAT payer status from the ANAF or VIES result, Putaway WMS asks for confirmation. The confirmation window includes the View validation response button, where the response received from the official service can be reviewed.
The manual change should be made only when the user is sure that the official result does not reflect the current situation. A change that differs from the official response may indicate incorrect or false data and may lead to a manual review by Putaway WMS because VAT status affects invoicing.
For companies from other EU countries, a valid VAT number is mandatory. If VIES does not confirm the code, registration cannot continue.
Plan Selection
Section titled “Plan Selection”The plan can be set in two ways:
- from the pricing page, when the user presses the trial button for a plan;
- directly in the registration form, if the user entered without choosing a plan.
When registration starts from the pricing page, Putaway WMS keeps the selected plan. After the company details are completed and checked, the plan selection step is skipped, and the user goes directly to legal document acceptance. This happens only if the plan is still available.
If the plan sent from the pricing page is no longer available, the user must choose one of the plans displayed in the form. If only one plan is available, Putaway WMS selects it automatically and skips the selection step.
Plans are shown with a free 30-day trial. The plan card shows the included limits, initial credits, 0 EUR now, and the price that applies after the trial.
No payment card is required at registration. The account starts with the selected plan, the 30-day trial, and the initial credits available for that plan. Automatic renewal is not enabled at this step.
Legal Documents
Section titled “Legal Documents”Before account creation, the user must read and accept the current documents:
- Terms and Conditions of Use
- Privacy Policy and Data Processing Agreement - DPA
- Service Level Agreement (SLA)
Accepting these documents creates the contract between Putaway WMS and the company being registered. The service is intended for business use, not personal use.
The acceptance checkboxes become available after the documents displayed on the screen are read. The user confirms that the documents were read and accepted and that they are the company’s legal representative or a person authorized to act on its behalf.
The entered data must belong to the company for which the account is being created. Using false data or another company’s data can lead to registration rejection, account blocking, and legal consequences for forgery and use of forged documents for the person who provided them.
The accepted contract is saved on the client account and can later be reviewed in Contracts.
Account Administrator
Section titled “Account Administrator”The final step creates the client administrator. The following details are completed:
- first name;
- last name;
- email;
- password;
- password confirmation.
The password must follow the requirements displayed in the form: minimum 8 characters, uppercase letter, lowercase letter, digit, and special character. The password cannot start or end with spaces.
If two-step verification is enabled for new accounts, the administrator will receive a 2FA code at login after the account is activated.
After Submitting The Form
Section titled “After Submitting The Form”When registration is completed, Putaway WMS prepares the client account:
- creates the company;
- creates the administrator user;
- starts the selected plan or trial;
- assigns any initial credits;
- saves the accepted contracts;
- saves the VAT validation or manual selection;
- creates the initial account settings.
The account remains inactive until the administrator confirms the email.
Email Activation
Section titled “Email Activation”After the form is completed, the administrator receives an email with an activation link. When the link is opened, Putaway WMS activates the administrator and the client account.
The activation link expires after 24 hours. If it expires, the administrator can request a new link from the login screen.
If this account is not activated within 7 days from creation, Putaway WMS automatically deletes it together with the data associated with the account created at registration. After deletion, registration must be restarted.
After activation, the administrator can sign in and continue with First steps.
If the administrator tries to sign in before activation, Putaway WMS displays a message saying that the email must be verified. The activation email can be resent from the login screen.
Expired Or Invalid Link
Section titled “Expired Or Invalid Link”If the link has already been used, Putaway WMS shows that the account is already activated.
If the link is expired or invalid, the user can request a new activation email. The email used at registration is entered, and Putaway WMS sends a new link if an inactive account exists for that email.
After Activation
Section titled “After Activation”After the first login, the administrator should continue with First steps. There, the data needed before real warehouse work is prepared: WMS settings, warehouses, users, locations, products, basic operations, and integrations.
For company data, use Company. For subscription, credits, and payment methods, use Billing.
Errors And Limitations
Section titled “Errors And Limitations”Registration stops if:
- public registration is disabled;
- the country or tax number is missing;
- the company already exists with the same country and the same tax number;
- the administrator email already exists;
- the company email already exists on another client;
- the selected plan is no longer available;
- the legal documents are not accepted;
- the password does not meet the requirements;
- an EU company outside Romania does not have a valid VAT number.
If the activation email does not arrive, check the spam folder. If it still cannot be found, use the activation email resend option from the login screen.
