Putaway
Putaway is the process through which already received goods are moved from a receiving location to the place where they will be used next.
In Putaway WMS, this page is used only after Goods receiving and after the products in receiving have been linked to the required documents: Goods receipt note or adjustment document.
This page does not introduce new goods and does not issue documents. Each valid scan immediately moves stock from source to destination.
When It Is Used
Section titled “When It Is Used”Use Putaway when products are still in receiving and must be moved:
- to storage locations, for products in Good condition;
- to quarantine locations, for products in Damaged or Quarantine condition;
- to picking carts, if the internal process allows direct movement toward order preparation;
- as loose products or inside handling units, depending on how they were received.
Do not use Putaway for moves between two already operational locations. Use Transfer for those moves.
Access And Conditions Before Work
Section titled “Access And Conditions Before Work”For the page to be usable:
- the user must have access to the selected warehouse;
- the user must have permission for putaway operations;
- the source location must be a Receiving location;
- the source location must be active, not locked;
- each item in the source location must be linked to a goods receipt note or an adjustment;
- the destination must be in the same warehouse and must be Storage, Quarantine, or Picking cart.
If the user does not have putaway permission, the Putaway option does not appear in the Warehouse operations menu. If the page is opened manually from the address bar, the application sends the user to Dashboard and the putaway screen does not load.
If no warehouse is selected, the menu option does not appear. If the page was already open, scanning the source or destination displays Warehouse is not selected and no stock is moved. If the selected warehouse is no longer accessible, the application displays Warehouse access denied and clears the current warehouse selection.
If receiving was only finished but does not yet have a goods receipt note or adjustment, putaway does not start. In this case, finish the document first from Goods receipt note or, where applicable, the adjustment from Inventory adjustments.
Opening The Page
Section titled “Opening The Page”Open Warehouse operations -> Putaway. In this documentation, this page is described as Putaway because its role is moving goods from receiving to the final or intermediate location.
The page has three steps:
- Source location: scan the receiving location.
- Destination location: scan the location where the goods will arrive.
- Transfer: scan the product or handling unit that must be moved.
Scanning can be done with a physical scanner, dedicated mobile device, or phone or tablet camera. The camera opens from the camera icon in the active field. After browser permission is granted, Putaway WMS automatically detects the code in frame and stops reading on that code. The operator checks what was detected, then presses Confirm code to send the code into the current step or Scan again if the label was not read correctly.
For accepted scans, Putaway WMS plays a success sound. For rejected scans or data that does not match the current step, it plays a warning sound. Sounds may be limited by the browser, silent mode, device volume, or phone or tablet audio policies. The message displayed on screen remains the main confirmation.
After source and destination are selected, two actions also appear at the top:
| Action | What it does |
|---|---|
| Change destination | Clears only the selected destination and asks for another destination scan. Stock already moved remains moved. |
| Finish | Closes the working session on the screen and resets the page. It does not move additional stock, issue a goods receipt note, or unlock documents. |
Step-By-Step Flow
Section titled “Step-By-Step Flow”- Scan the source receiving location.
- Putaway WMS checks that the location exists, belongs to the current warehouse, is Receiving, is active, and has documented items.
- After validation, the page displays loose products and handling units from the source location.
- Scan the destination location.
- Putaway WMS checks the destination type, warehouse, and location status.
- Choose the working mode: Product transfer or HU transfer.
- Scan the product, barcode, lot, serial number, or HU code requested by the screen.
- Enter the quantity if the product is not serialized.
- Confirm the lot, serial number, or product condition if Putaway WMS asks for a choice.
- After a valid scan, stock is moved immediately.
- Repeat until the source no longer contains the products that must be moved.
- Press Finish only to close the working session on the page.
What Putaway WMS Checks
Section titled “What Putaway WMS Checks”Putaway WMS checks:
- source: it must be a receiving location in the current warehouse;
- source eligibility: all items must be linked to a goods receipt note or adjustment;
- destination: it must be storage, quarantine, or cart;
- location status: locked locations are not accepted;
- product: the scanned code must exist in the source;
- product context: loose product, product inside an HU, or product inside a child HU;
- quantity: you cannot move more than exists in the source;
- product condition: Good, Damaged, or Quarantine;
- lot and expiry date, for perishable products;
- exact serial number, for serialized products;
- traceability: the product is not mixed in a destination in a way that would hide the real stock origin.
Destination Rules
Section titled “Destination Rules”The destination type controls what can be moved:
| Destination | What it accepts |
|---|---|
| Storage | Only products in Good condition. |
| Quarantine | Only products in Damaged or Quarantine condition. |
| Picking cart | Products in Good, Damaged, or Quarantine condition, if the internal process allows it. |
If the same barcode exists in the source with different conditions, Putaway WMS asks you to choose the correct condition before moving.
Product Transfer
Section titled “Product Transfer”Use Product transfer when moving a quantity of a product, not the entire handling unit.
For loose products:
- stay at source location level;
- scan the product;
- enter the quantity;
- confirm the lot or serial number if required;
- the product moves to the selected destination.
For products inside an HU:
- enter the HU from the source using Select;
- scan the product from that HU;
- choose the destination: the direct location or an open HU in the destination;
- confirm the transfer by scanning.
If the product is inside an HU and the operator tries to move it from location level, Putaway WMS asks for the correct HU to be selected.
Lots, Serial Numbers, And Fast Scanning
Section titled “Lots, Serial Numbers, And Fast Scanning”If the product has a single lot eligible for the selected destination, Putaway WMS can select it automatically. If there are multiple lots, the selection window appears.
If the product is serialized:
- the quantity must match the number of selected serial numbers;
- the serial number must exist in the source location for the scanned code;
- if you scan a single serial number, the quantity becomes 1.
Putaway WMS also accepts the fast format:
BARCODE;LOT:LOT-123;SN:SERIAL-1
This format helps when the label contains the product code, lot, and serial number in the same scan.
HU Transfer
Section titled “HU Transfer”Use HU transfer when moving a whole handling unit: box, pallet, or container.
In this mode:
- select the source and destination;
- press HU transfer;
- scan the HU code;
- Putaway WMS moves the HU and the products inside it to the destination.
If the scanned HU is a child inside another HU, Putaway WMS checks the parent. If the parent is sealed, the move is refused. If the parent is not sealed, the child HU can be detached and moved as a standalone HU into the destination.
A sealed HU can be moved as a whole. Individual products cannot be moved out of a sealed HU and products cannot be moved into a sealed HU.
Handling Unit Actions
Section titled “Handling Unit Actions”In the source area, you may see these actions:
| Action | What it does |
|---|---|
| Select | Enters the HU and moves scanned products from that HU. It appears only for open HUs. |
| Remove | Removes the empty HU from the source location. It is accepted only if the HU contains no products and has no child HUs. |
In the destination area, you may see these actions:
| Action | What it does |
|---|---|
| Select as destination | Chooses the open HU where scanned products will enter. |
| Navigate to location | Returns to location level so the next products enter directly into the location, not into an HU. |
Common Errors
Section titled “Common Errors”- Source location was not found: the scanned code does not exist in the current warehouse or is not an active location.
- Source must be receiving: a storage, quarantine, returns, or cart location was scanned as source.
- Receiving location is not eligible: there are items without a goods receipt note and without adjustment.
- Destination is not valid: the scanned location is not storage, quarantine, or cart.
- Destination is locked: the location cannot receive stock until the lock is resolved.
- Product has no stock in source: the scanned code does not exist in the selected location or HU.
- Quantity exceeds stock: the entered quantity is higher than the available quantity.
- Lot or serial number is not available: the scanned identity does not exist in the source for that product.
- Data was changed by another user: refresh the page and resume scanning against the current stock.
After Putaway
Section titled “After Putaway”After each successful transfer:
- the moved quantity decreases from the receiving location;
- the same quantity appears in the selected destination;
- the product keeps the supplier, supplier order, goods receipt note, adjustment, lot, serial number, condition, and cost information;
- the movement appears in Traceability;
- resulting stock can be checked in Inventory -> Stock.
After the receiving location has been emptied through putaway, it can be reused for new receiving flows if there is no other operational lock.
