Transfer

Transfer moves stock that already exists in the warehouse from one operational location to another. The page does not introduce new goods, does not issue receiving or adjustment documents, does not replace Goods receiving, and is not used for goods that are still in receiving locations.

In Putaway WMS, transfer is used after stock has entered inventory and is in storage, quarantine, returns, or a picking cart. The picking cart is a valid operational location: you can transfer goods into it and transfer goods from it to storage or to another accepted location.

Data is separated by client. The operator sees and can use only the warehouses, locations, products, and handling units they can access in their account.

On this page, HU means handling unit: box, pallet, or container used to group products.

Use Transfer when:

  • moving products between two storage locations;
  • moving products between storage and quarantine;
  • moving products from returns to an operational location, if the internal process allows it;
  • moving products into a picking cart for an internal operational move;
  • moving products from a picking cart back into storage;
  • moving a handling unit between locations;
  • reorganizing the warehouse;
  • emptying a location that should no longer be used.

If the goods were just received and are still in receiving, the correct process is Putaway, not Transfer.

For the page to be usable:

  1. the operator must be authenticated;
  2. the operator must have access to the selected warehouse;
  3. the operator must have permission for the transfer operation;
  4. the source and destination must be in the same warehouse;
  5. the source and destination must be accepted operational locations;
  6. the locations must not be locked.

If the operator does not have transfer permission, the Transfer option does not appear in the Warehouse operations menu. If the page is opened manually from the address bar, the application sends the operator to Dashboard and the transfer screen does not load.

If no warehouse is selected, the menu option does not appear. If the page was already open, scanning the source or destination displays Warehouse is not selected and transfer does not start. If the selected warehouse is no longer accessible, the application displays Warehouse access denied and clears the current warehouse selection.

Accepted locations are Storage, Quarantine, Returns, and Picking cart. Receiving locations are refused.

Open Warehouse operations -> Transfer.

The -> arrow marks menu navigation: first open Warehouse operations, then open the Transfer page.

The page has three main steps:

  1. Source location: scan the location where stock leaves from.
  2. Destination location: scan the location where stock arrives.
  3. Transfer: choose the working mode and scan the product or handling unit.

Scanning can be done with a physical scanner, dedicated mobile device, or phone or tablet camera. The camera opens from the camera icon in the active field. After browser permission is granted, Putaway WMS automatically detects the code in frame and stops reading on that code. The operator checks what was detected, then presses Confirm code to send the code into the current step or Scan again if the label was not read correctly.

For accepted scans, Putaway WMS plays a success sound. For rejected scans, unsupported locations, products that do not exist in the source, or wrong lots or serial numbers, it plays a warning sound. Sounds may be limited by the browser, silent mode, device volume, or phone or tablet audio policies. The message displayed on screen remains the main confirmation.

After source and destination are selected, two actions appear at the top:

The full flow is:

  1. Scan the source location.
  2. Putaway WMS checks the warehouse, client, location type, operator access, and location status.
  3. After validation, the page displays loose products and handling units from the source.
  4. Scan the destination location.
  5. Putaway WMS checks the destination and reloads source information based on the destination type.
  6. Choose the working mode: Product transfer or HU transfer.
  7. Scan the product or handling unit.
  8. If needed, choose the condition, lot, or serial numbers. The expiry date comes from the selected lot.
  9. Enter the quantity if the product is not serial-controlled.
  10. Confirm the transfer.
  11. Putaway WMS moves the stock immediately and updates the source and destination lists.
  12. Continue with the next product or press Finish to close the working session on the page.

The transfer is applied at each confirmation. The Finish button does not make an additional move; it only resets the screen for the next flow.

Scan the full source location code from the physical label. The operator scans the final bin, not only the zone or aisle.

Example label for a storage location:

The zone name is defined by the client in storage locations. The remaining segments come from the warehouse structure and from prefixes configured in Warehouse settings.

The source can be storage, quarantine, returns, or picking cart. For example, if an operator moved products into a cart and must take them back to storage, they scan the cart as source and the storage location as destination.

In the source, you may see:

  • loose products, meaning products located directly in the location;
  • handling units, for example boxes, pallets, or containers;
  • child handling units, if units are placed inside other units;
  • barcodes, lots, expiry dates, serial numbers, and product condition;
  • handling unit status: open, sealed, or empty;
  • the handling unit navigation trail, so the operator knows where they are.

If the product is inside a handling unit, the operator must enter that unit before moving the product individually. If the unit is sealed, its contents cannot be moved individually.

After source validation, scan the destination location.

The destination can be storage, quarantine, returns, or picking cart. For example, you can move products from storage to a picking cart, then from that cart back to storage.

After validation, the page displays the destination contents. The operator can send products directly into the destination location or choose an open handling unit from the destination. Sealed units cannot be selected as product destinations.

Use Product transfer when moving a quantity of a product, not the entire handling unit.

The flow is:

  1. scan the source;
  2. scan the destination;
  3. stay in Product transfer mode;
  4. scan the product code;
  5. choose the condition, lot, or serial numbers if Putaway WMS asks for this;
  6. enter the quantity if the product is not serial-controlled;
  7. confirm the transfer.

If the same barcode exists in the source with different conditions, Putaway WMS asks you to choose the correct condition before moving.

If you move a product from a handling unit:

  1. select the unit from the source;
  2. scan the product from the selected unit;
  3. choose whether the product arrives directly in the destination or in an open handling unit from the destination;
  4. confirm the transfer.

Putaway WMS refuses moving products into sealed handling units.

If the product is loose in the source, do not select a source handling unit. If the product is inside a handling unit, select that unit before scanning.

The picking cart can be used as a temporary location in transfer. It should not be treated as a receiving location and does not automatically start order picking.

Valid examples:

  • Storage -> Picking cart: move products from a bin into a cart.
  • Picking cart -> Storage: move products from the cart back into a storage bin.
  • Returns -> Picking cart: move products from returns into a cart, if the internal process allows it.
  • Picking cart -> Quarantine: move products that must be isolated.

When transferring to storage, Putaway WMS requires stock to arrive in Good condition. If the product leaves quarantine or damaged stock, the operator confirms the condition change.

For perishable products, transfer works with the product lot and expiry date. If there is a single lot eligible for the selected destination, Putaway WMS can select it automatically. If there are multiple lots, the operator chooses the correct lot from the selection window.

For serializable products, transfer asks for the exact serial numbers:

  • the serial number must exist in the source location;
  • the serial number must belong to the scanned product;
  • the number of selected serial numbers must equal the moved quantity;
  • scanning a single serial number sets the quantity to 1.

Putaway WMS also accepts fast scanning in one code:

This format is useful when the label contains the product code, lot, and serial number in the same scan.

Products that are not serialized remain grouped under the same traceability identity: supplier, receiving, document, cost, currency, lot, and condition. If the destination already has the same product but with different traceability, Putaway WMS stops the transfer and asks for another location or for stock separation.

Product condition matters during transfer. The values used are Good, Damaged, and Quarantine.

Main rules:

Do not use Transfer to correct wrong quantities. For stock differences, use Inventory adjustments or the appropriate inventory flow.

Use HU transfer when moving a whole handling unit: box, pallet, or container.

The flow is:

  1. scan the source;
  2. scan the destination;
  3. choose HU transfer mode;
  4. scan the handling unit code;
  5. Putaway WMS moves the unit and all its contents into the destination.

If the scanned unit contains other units or products, they move together with the main unit. This mode is not used for partial movement of the contents.

If the scanned unit is a child inside another unit, Putaway WMS checks the parent. If the parent is sealed, transfer is refused. If the parent is not sealed, the child unit can be detached and moved as a standalone unit into the destination.

In the source area, these actions may appear:

In the destination area, the operator can use Select as destination for an open handling unit. From that moment, scanned products arrive in that unit. To send products directly into the location again, return to the destination location.

The handling unit status is displayed in the card. Open allows working with individual products. Sealed blocks individual product movement into or out of that unit. Empty allows removing the unit from the source location if it has no child units.

Putaway WMS stops the transfer when:

  • the source or destination does not exist in the current warehouse;
  • the source or destination is a receiving location;
  • the source or destination is locked;
  • the scanned product does not exist in the selected source;
  • the product is in a handling unit, but the operator did not select the correct unit;
  • the requested quantity is higher than the available quantity;
  • the lot does not match the product or stock in the source;
  • the perishable product does not have the required lot;
  • the serializable product does not have the required serial numbers;
  • the scanned serial number does not exist in the source;
  • the handling unit does not exist in the source;
  • the parent handling unit is sealed;
  • the selected destination is a sealed handling unit;
  • the handling unit selected as destination does not belong to the destination location;
  • the move would mix stock with a different identity and affect traceability.

After confirmation, Putaway WMS applies the move in a single operation:

  • decreases the quantity from the source;
  • increases the quantity in the destination or creates the destination stock position;
  • preserves lot, serial number, supplier, and traceability information;
  • updates the handling unit location, if the transfer is for an HU;
  • records the movement in stock history.
