Picking
Picking is the process through which the operator takes products from storage locations for orders prepared for work. In Putaway WMS, picking works with pick lists, picking carts, storage locations, lots, serial numbers, and, where applicable, handling units.
Picking does not receive new goods and does not correct stock. For new goods, use Goods receiving and then Putaway. For stock differences, use Inventory adjustments or the appropriate inventory flow.
Data is separated by client. The operator sees only the selected warehouse, orders, locations, and products they can access.
Where It Appears In The Application
Section titled “Where It Appears In The Application”The flow starts from Warehouse operations -> Picking.
The -> arrow marks menu navigation: first open Warehouse operations, then open the Picking page.
The page has two tabs:
| Tab | What it shows |
|---|---|
| Pending products for picking | Products from orders sent to picking, ordered quantity, status, and whether the product is already in a list. |
| Pick lists | Created lists, status, operator, cart, progress, shortages, and access to list details. |
From the header, a new list can be started with Start picking. From list history, a list detail can be opened, or an active list can be taken over from another operator if the current user does not already have an active list.
Links With Other Pages
Section titled “Links With Other Pages”- Orders: the order must be sent to picking before entering this flow.
- Picking carts: carts scanned in picking are created and labeled here.
- Picking strategy: controls the order of locations proposed to the operator.
- Warehouse settings: pick list limits and prefixes for locations and carts are configured here.
- Storage locations: only storage locations eligible for picking can be a source in picking.
- Packing: receives completed lists with picked products.
- Picking report: measures picking activity, shortages, orders cancelled during picking, and operational times.
- Stock, Stock history, and Traceability: used for checks after picking.
Access And Conditions Before Work
Section titled “Access And Conditions Before Work”Picking requires:
- authenticated user;
- selected warehouse;
- access to the selected warehouse;
- permission for the picking operation;
- standard orders sent to picking;
- products with eligible stock in storage locations.
If the user does not have picking permission, the Picking option does not appear in the Warehouse operations menu. If the page is opened manually from the address bar, the application sends the user to Dashboard and the picking screen does not load.
If no warehouse is selected, the menu option does not appear. If the page was already open, lists and carts cannot load for work until the user selects a warehouse. If the selected warehouse is no longer accessible, the application displays Warehouse access denied and clears the current warehouse selection.
Putaway WMS does not propose stock from receiving, returns, quarantine, or inventory as a source for order picking. Stock must be in a storage location, on a level marked as available for picking, and in an area that is not locked.
If stock exists only in receiving or on levels that are not available for picking, the order can be moved to a replenishment-required status. If there is not enough stock in the warehouse, the order can be moved to a stock shortage status.
Automatic Check When Entering The Page
Section titled “Automatic Check When Entering The Page”When the picking page opens, Putaway WMS checks orders prepared for picking:
- if there is enough pickable stock, the order remains available for a list;
- if stock is completely missing, the order is removed from the normal picking flow;
- if stock exists but is in receiving or in an area that cannot be picked, the order is marked as needing replenishment.
This check prevents creating lists for orders that the operator cannot physically pick.
Creating A Pick List
Section titled “Creating A Pick List”The flow is:
- Open Warehouse operations -> Picking.
- Press Start picking.
- Choose the order type:
- Single-product orders;
- Multi-product orders.
- Fill Specific order ID only if you work on one specific order.
- Use Product SKU, Zone, or Aisle only if you want to narrow the list.
- Press Start picking.
- Scan the picking cart when the screen asks for it.
If the operator already has an active list in the current warehouse, Putaway WMS resumes it instead of creating a new one.
During scan steps, the operator can use a physical scanner, dedicated mobile device, or phone or tablet camera. The camera opens from the camera icon in the active field. After browser permission is granted, Putaway WMS automatically detects the code in frame and stops reading on that code. The operator checks what was detected, then presses Confirm code to continue picking or Scan again if the label was not read correctly.
For accepted scans, Putaway WMS plays a success sound. For wrong scans, locations or products that do not match, or wrong lots or serial numbers, it plays a warning sound. Sounds may be limited by the browser, silent mode, device volume, or phone or tablet audio policies. The message displayed on screen remains the main confirmation.
List limits come from Warehouse settings: there is a limit for single-product orders, a limit for multi-product orders, and a threshold for large orders that must be treated as a dedicated list.
Picking Cart
Section titled “Picking Cart”The picking cart is a mobile location used between picking and packing. The operator scans the cart label when the list requests it.
Important rules:
- the label must belong to a picking cart from the current warehouse;
- the same cart cannot be assigned at the same time to another active list or a list waiting for packing;
- after picking, the cart helps quickly identify the list in Packing.
An example of a default cart label is:
P-C-1
Prefixes are configurable in Warehouse settings before carts are created.
Executing Picking
Section titled “Executing Picking”The normal workflow is:
- Putaway WMS displays the location where the product must be taken from.
- The operator scans the displayed location.
- If the product is in a handling unit, the operator scans the displayed unit.
- The operator takes the physical product from the location.
- The operator scans the product or barcode.
- If the product has a lot, Putaway WMS asks for the correct lot or opens lot selection.
- If the product has a serial number, Putaway WMS asks for the exact serial number.
- Putaway WMS confirms the item and moves to the next product.
Order matters. If the operator scans another location, another handling unit, another product, another lot, or another serial number, picking is not confirmed.
For a storage location, the operator scans the full bin label, not only the zone, aisle, or shelf. The zone name is defined by the client, and the remaining segments come from the warehouse structure and configured prefixes.
Example:
ZoneA-A01-B01-L01-01
For the exact label format, check Storage locations and Warehouse settings.
Stock Selection Order
Section titled “Stock Selection Order”Putaway WMS chooses stock for the list based on available orders and pickable stock:
- orders are handled FIFO, from oldest to newest;
- perishable products are chosen by expiry date, prioritizing lots that expire sooner;
- non-perishable products are chosen by warehouse entry date;
- location order follows Picking strategy;
- locked locations or levels not available for picking are ignored.
The operator does not manually choose the location if the list was created automatically. If the route must be narrowed, use zone, aisle, or SKU filters before starting the list.
Lots, Serial Numbers, And Fast Scanning
Section titled “Lots, Serial Numbers, And Fast Scanning”For products with lots, Putaway WMS asks for the correct lot. If there are multiple eligible lots for the same product in the same location, the operator selects the lot from the displayed window.
For serialized products, each serial number is treated as a distinct unit. The operator does not confirm a generic quantity instead of the required serial number.
Putaway WMS also accepts fast scanning in one code:
BARCODE;LOT:LOT-123;SN:SERIAL-1
This format is useful when the label contains the product code, lot, and serial number in the same scan. If the lot or serial number from the code does not match the expected item, the scan is rejected.
Handling Units In Picking
Section titled “Handling Units In Picking”On this page, HU means handling unit: box, pallet, or container.
If the list item is inside an HU, Putaway WMS displays the unit code and asks for it to be scanned before scanning the product. The goal is for the operator to take the product from the correct unit.
Picking does not include actions to seal or unseal boxes. Those actions appear in flows where handling units are managed directly, not in the picking screen. In picking, the operator scans the displayed HU and then the product.
Missing Product
Section titled “Missing Product”Use Missing product only when the product physically does not exist in the displayed location.
When a product is reported missing:
- the current item is marked as missing;
- the quantity is removed from the pickable stock of the location;
- the other items from the same order are handled according to their status;
- the order may return for replanning or may reach a stock error status, depending on what remains pickable.
Do not use Missing product as a shortcut when the product exists in another location. First check the location, barcode, lot, serial number, and displayed HU.
Order Cancelled During Picking
Section titled “Order Cancelled During Picking”If an order is cancelled while the list is active, Putaway WMS notifies the operator on screen.
The rule is:
- unpicked products for the cancelled order are removed from the working list;
- already picked products must be returned to the indicated location;
- if the operator tries to continue scanning a product from the cancelled order, Putaway WMS blocks the scan and asks for the product to be returned.
The operator must follow the on-screen message before continuing with the next products.
Taking Over A List
Section titled “Taking Over A List”In the Pick lists tab, an active list created by another user can be taken over.
Taking over:
- changes the responsible operator;
- allows continuing the existing list;
- does not create a new list for the same products;
- is refused if the current user already has an active list;
- is refused if the list is no longer active.
Use takeover only when the list really must be continued by another operator.
Completing The List
Section titled “Completing The List”When there are no more pending items, Putaway WMS completes the list.
After completion:
- if there are picked products, the list moves to Waiting for packing;
- if all items were missing, cancelled, or returned, the list closes without a packing step;
- fully picked orders move forward to packing;
- orders with missing or unpicked products remain in the appropriate status for resolution;
- products picked on the cart can be found in Packing by scanning the cart.
The New pick list button resets the screen for another list. It does not move stock and does not modify the list already completed.
Refused Or Blocked Cases
Section titled “Refused Or Blocked Cases”Putaway WMS stops picking when:
- the user does not have access to the selected warehouse;
- the user does not have picking permission;
- there are no orders available for the requested list;
- the order is already in an active list or in a list waiting for packing;
- the scanned cart does not exist or is not a picking cart;
- the cart is already used by another active list;
- the scanned location is not the displayed location;
- the source location is no longer pickable;
- the location, level, shelf, aisle, or zone is locked;
- the scanned product does not match the displayed product;
- the lot or serial number does not match;
- the item is no longer pending;
- the list is no longer active;
- the order was cancelled and the product must be returned.
Checks After Picking
Section titled “Checks After Picking”For operational checks:
- use the list detail in Pick lists for items, quantities, locations, lots, serial numbers, and statuses;
- use Packing to continue the flow;
- use Picking report for productivity and operational issues;
- use Stock history and Traceability for stock movements.
