Stock check
Stock check is the screen where the operator scans a location and sees what stock exists there in Putaway WMS. The page is for consultation only: it does not move products, add products, decrease quantities, or close documents.
The screen does not check an order and does not require products to be scanned one by one. The operator scans the location, and Putaway WMS displays the content recorded on that location.
Where to find it
Section titled “Where to find it”In the application, go to Warehouse operations -> Stock check.
The page is connected to:
- Storage locations, receiving locations, quarantine locations, returns locations, and picking carts: these can be checked by scanning;
- Stock: shows stock at product and warehouse level;
- Stock history and Traceability: explain where the stock comes from and what movements it passed through;
- Transfer: used if the product must be moved to another location;
- Inventory adjustments and Inventories: used when there are differences between what appears in Putaway WMS and what is found physically.
Access
Section titled “Access”The user must have a selected warehouse, access to that warehouse, and permission for Stock check.
If the user does not have stock check permission, the Stock check option does not appear in the Warehouse operations menu. If the page is opened manually from the address bar, the application sends the user to the Dashboard and the check screen does not load.
If no warehouse is selected, the menu option does not appear. If the page was already open, scanning the location displays Select a warehouse first and stock is not loaded. If the selected warehouse is no longer accessible, the application displays Warehouse access denied and clears the current warehouse selection.
The displayed data is only for the company and warehouse of the authenticated user. A location from another warehouse or another account is not available on this screen.
When to use it
Section titled “When to use it”Use Stock check when:
- you want to quickly see what products are in a location;
- an operator cannot find the product during picking;
- the content of a picking cart must be checked;
- a box, pallet, or container in a location must be checked;
- you want to confirm the result after Putaway, Transfer, or Logistic returns;
- you are investigating a difference before inventory counting or adjustment.
What is scanned
Section titled “What is scanned”Scan the full location code, not the product code.
Accepted locations are:
| Location type | What can be checked |
|---|---|
| Storage | Products available in storage shelves or bins. |
| Receiving | Products still in a receiving location. |
| Picking cart | Products temporarily in a cart. |
| Quarantine | Products separated for checking, damaged, or operationally blocked. |
| Returns | Products returned through the logistic return flow. |
If the location does not exist in the selected warehouse or is not an accepted type for this page, Putaway WMS displays the message that the location was not found.
Step-by-step flow
Section titled “Step-by-step flow”- Open Warehouse operations -> Stock check.
- Scan or enter the location code in the scan field.
- If you use the phone/tablet camera, press the camera icon, allow browser access, and keep the label in frame. Putaway WMS automatically detects the code and stops reading on that code. Check the displayed code, then press Confirm code or Scan again if the label was not read correctly.
- Putaway WMS checks the location in the selected warehouse.
- If the location is valid, the location type appears at the top, and the screen displays its content.
- For another location, scan the new code directly. The current result is replaced with the stock from the newly scanned location.
For an accepted location, Putaway WMS plays a success sound. If the location does not exist, is not accepted, or the scan cannot be processed, it plays a warning sound. Sounds can be limited by the browser, silent mode, device volume, or the phone/tablet audio policies; the message displayed on the screen remains the main confirmation.
What appears after scanning the location
Section titled “What appears after scanning the location”After validation, the screen displays the title Location [code] contains [quantity] products. The quantity is the total number of products found in the location, including products inside handling units.
If the location has products directly in it, they appear in the Loose products section.
If the location has handling units, they appear as separate sections. In Putaway WMS, HU means handling unit: box, pallet, or container.
For each handling unit, you can see:
- unit type: box, pallet, or container;
- unit code;
- total quantity in the unit;
- unit status: Empty, Open, or Sealed;
- products directly inside the unit;
- handling units inside it, if any.
Units that contain other units can be expanded or collapsed from the arrow displayed on the card.
Product card
Section titled “Product card”For each displayed product, the operator sees:
- total quantity;
- SKU;
- product name;
- brand, if any;
- barcode scanned when entering stock, if any;
- product condition: Good, Damaged, or Quarantine;
- lot and expiry date, if the product has a lot;
- serial numbers, if the product is serializable.
If the same product exists in the same location with different conditions, lots, expiry dates, or serial numbers, Putaway WMS displays it separately inside the card, so the operator can see the exact stock identity.
Location without products
Section titled “Location without products”If the location has no products and no handling units, the message No products found at this location appears.
If the location has empty handling units, the screen can display those units with quantity 0 and an empty content message. This means the unit exists in the location but does not contain products.
Missing product, extra product, or product with different condition
Section titled “Missing product, extra product, or product with different condition”Stock check does not automatically mark products as missing or surplus. The page only shows what is recorded in Putaway WMS on the scanned location.
If a product does not appear:
- check whether the correct location was scanned;
- check whether the product is inside a handling unit in the same location;
- check whether the product appears with another condition: Good, Damaged, or Quarantine;
- check Stock history or Traceability for recent movements;
- if the difference is real, use Inventories or Inventory adjustments, depending on the internal process.
If a product physically exists in the location but does not appear on the screen, do not enter it through Stock check. This page does not correct stock. The difference must be resolved through inventory counting, adjustment, or the operational flow that generated the movement.
If the product appears as Damaged or Quarantine, the condition is displayed on the product row. The screen does not change the condition and does not automatically move the product to another location.
Special locations
Section titled “Special locations”For a Receiving location, the page shows what exists there, but it does not complete receiving, issue the GRN, or start Putaway.
For a Returns location, the page shows the returned products in the location. If they must be moved further, use Transfer.
For a Picking cart, the page shows what products are in the cart. It does not start picking and does not send the list to packing.
Messages and rejected cases
Section titled “Messages and rejected cases”Putaway WMS stops the check or displays a message when:
- no warehouse is selected;
- the scan field is empty;
- the scanned location does not exist in the selected warehouse;
- the user does not have access to the warehouse;
- the user does not have permission for Stock check;
- the camera cannot be accessed or the browser does not allow camera use;
- an error appears while processing the scan.
After an error message, the operator can scan the correct location again.
What this screen does not do
Section titled “What this screen does not do”Stock check does not perform any of the actions below:
- it does not move products;
- it does not add products;
- it does not decrease products;
- it does not change the product condition;
- it does not empty locations;
- it does not seal or unseal handling units;
- it does not create adjustments;
- it does not complete receiving, putaway, transfers, or inventories.
If stock must be changed, use the correct flow: Transfer, Putaway, Logistic returns, Inventory adjustments, or Inventories.
